Automate bookings and appointments

A well-automated booking needs nobody: the customer picks a time, gets the confirmation and a reminder before they come.

What can be automated in a booking

How to do it right

Hold the spot while payment goes through

Minutes pass between choosing and paying. The booking is created as pending with an expiration; if the payment doesn't arrive, it releases itself and nobody ends up with the same spot as someone else.

Recommendation. An expiration of 10 to 15 minutes for link payments; longer if payment is by bank transfer.

Remind, and say what is lost

Reminders increase attendance. A Cochrane review of seven studies with 5,841 people found that text message reminders increase attendance at medical appointments compared with no reminder (Gurol-Urganci et al., 2013).

The wording matters too. In a trial in London hospitals, the reminder that stated how much each missed appointment cost the health system (160 pounds) lowered no-shows from 11.1% to 8.4% compared with the usual reminder (PLOS ONE, 2015).

Recommendation. Say in the reminder what happens if the person doesn't come and offer a one-tap change. A spot released in time can be filled again.

Times and time zones

Many tourists book from another country. Times are stored with their time zone and shown in the business's local time: Tulum is on UTC−5 all year, with no daylight saving time. The confirmation includes a calendar file (.ics) so the booking ends up on the customer's phone.

Recommendation. Write the time with the city in every message: "21:30, Tulum time".
